Our customer in the Taylor, MI area is looking for an Executive Assistant to assist the Director of Real Estate, MUST have Real Estate experience (Real Estate, Title Closer, Mortgage Closer, etc).

The Real Estate Department is ever-changing and flexibility is a must. The ideal candidate will be someone who embraces change and can manage multiple duties while remaining focused and detailed. This position requires a strong administrative assistant background with the additional responsibilities of project management, real estate development and customer service.
Primary Responsibilities:
Research, review, edit and execute legal real estate documents such as leases, contracts, purchase agreements, etc.
Research gas station information and provide demographic information
Prepare files for presentations and meetings
Prepare and send correspondence to market to prospective new business customers
Assist Director with emails that require a response to prospective customers, current customers, vendors, personal contacts, etc.
Answer all incoming calls for the Director and use judgment in screening calls.
Understand position and take initiative to assist callers with questions or requests.
Expert knowledge of filing systems and being able to execute correctly and quickly.
Prepare travel arrangements for Director such as Air, Car, Hotel and prepare itinerary.
Primarily using Outlook, maintain and update calendar for Director, which includes scheduling/canceling and updating events.
Schedule business meetings, lunches, dinners for Director and provide detailed information.
Schedule Daily/Weekly team meetings to review workload, assigned tasks and new initiatives.
Assist in preparing steps for goals, critical paths and Weekly Scorecards.
Sort through mail and deliver important information to team leader.
Maintains workflow by studying methods, implementing cost reductions and developing reporting procedures.
Contributes to team effort by accomplishing related results.
Maintain neat and professional appearance and demeanor with customers and visitors.
Provide personal assistance to the Director, as needed.
Required Experience:
Real estate background or experience required - ROI Required!
Ability to be flexible as changes are daily
Ability to insure the completion of projects and duties that were disrupted by workflow changes
Ability to ensure deadlines are met and to follow up on details
Proficient in Microsoft Office (Word, Outlook, PowerPoint, Excel)
Very organized work habits
Desire to help and able to think on their feet
Professional demeanor about self and work area
Ability to keep relevant information confidential
Ability to work effectively with wide range of people from customers, executive team, vendors, and all staff members
Required Education & Certification:
High School diploma or equivalent – A degree or certificate from a college or technical school is very desired.
